INTRODUCTION:
TIME SHEET is a program that was developed for people who
need to maintain a record of their weekly time spent for billing
purposes. Professional people such as engineers, architects, law
firms. ad agencies, accountants, ect. all can use TIME SHEET.
TIME SHEET is particularly ideal for people who spend most of
their time at a computer terminal. It provides a quick and easy
way to maintain a record of your time, and be able to review
previous weeks time sheets at a glance.
FEATURES:
TIME SHEET features a maintenance free client data base. This
means you only have to enter the job number and job name once,
and the program will begin each consecutive new week with a
sorted list of last weeks clients. It also checks for any jobs
which haven't been charged to for more than a week, and deletes
them from next week's data base.
The time spent for services is logged on to the time sheet,
the program then saves the weekly time to an ASCII file format
with a unique file name. This allows a central department to
collect all the timesheet files for the week and import them
into a spreadsheet program.
TIME SHEET has a variety of different configurable
parameters. If TIME SHEET is being used in a group situation,
where data files are collected, there are a few parameters which
should be the same among all the users in that group. Parameters
such as:
* Week Ending Day
* Company Name
Other configurable parameters were provided to allow each
installation with a unique setup specified by the user. These
parameters are:
* Employee Name
* Employee ID Number
* Data File Path
* Data File Extension
* Sound
* Screen Colors
HARDWARE REQUIREMENTS:
TIME SHEET requires an IBM PC or compatable, with an EGA or
VGA adapter and monitor. Printing can be achieved through any dot
matrix line printer, and most laser printers. Also, a real time
clock must be present and working.
INSTALLATION:
TIME SHEET may be installed on a hard disk or a floppy. There
are three methods presented here for installing TIME SHEET on
both hard and floppy systems. In all three installation
alternatives there are three files which must be in the same
subdirectory. The files are:
TSHEET.EXE (Executable file)
TSHEET.CFG (Configuration file)
TSHEET.INX (Index of data files)
Installation Alternative #1 (Floppy Drive)
Copy the three program files listed above to a floppy disk.
This will be your program disk. Data files that TIME SHEET
creates may be placed on your program disk, or if you have two
floppy drives, have the data files placed on the other floppy
drive. This is set with the DATA FILE PATH option in the
Configuration Menu (CHNG CNFG). Be sure to check all
Configuration settings before entering any data.
Installation Alternative #2 (Hard Disk Drive)
Create a subdirectory, possibly called \TIME to place the
three files listed above, but make sure the subdirectory name is
listed in the PATH statement in your AUTOEXEC.BAT file. This
will allow TIME SHEET to be called up without logging to that
subdirectory. You may wish to store all data files created by
TIME SHEET in this directory. This is set with the DATA FILE
PATH option in the Configuration Menu (CHNG CNFG). Be sure to
check all options in the Configuration Menu before entering any
data.
Installation Alternative #3 (Hard Disk Drive)
If your PATH statement is getting too long, you may wish to
put the three programs files mentioned above, in the same
subdirectory as your most popular application software (assuming
it's in your path). You may then specify another subdirectory
for the data files, which doesn't need to be in your path. Be
sure to check all options in the Configuration Menu before
entering any data.
GETTING STARTED:
The first time you start TIME SHEET it will display the
message "No Data Found for the week requested. Hit Any key to
create new file from last week". You will then get a message "No
Data File Found for last week". This is perfectly normal, TIME
SHEET now knows this a new setup or new configuration, and is
ready to accept your input.
BUT WAIT! Before you begin to input all your clients, MAKE
SURE all your configuration parameters are set correctly. Pay
Particular attention to the Data File Path, File Extension, and
Week Ending Day. Changing these parameters at a future date will
result in your data files not being found.
To check your configuration, you need to go to the CHNG CNFG
window at the bottom of the screen. This may be done by either
moving the green cursor box with your arrows keys all the way to
the bottom of the screen, or use the TAB or ESC key at any time
to move to SAVE WEEK, then use cursor right to CHNG CNFG.
Once in the Configuration Menu, you can change any of the
settings by typing over them. To accept the highlighted item or
continue to next item, simply hit your RETURN key. After going
through all the parameters, you be offered the opportunity to
save your settings. To get the cursor back in the time sheet
area, use your cursor up key.
Input your job data (Job Number, and Job Name). The job
number is essential, because once a week your current client
list is sorted by job number. The Job data must be listed
consecutively, meaning no spaces between entries. After
completing the list, don't forget to SAVE WEEK. The program will
warn you if you forget, but the warning can be overridden simply
by ignoring the message. See the Operation section for more
information.
DESCRIPTION OF SCREEN:
In the upper left corner of the TIME SHEET screen is the
current time, and the upper right is the current day and date.
if any of these values are incorrect, see you DOS Manual on how
to use DOS's DATE and TIME commands to correct them.
The main body of screen is the time sheet. This is where you
keep track of your time, similar to the traditional time sheet.
Job information and hours are placed across in rows. The columns
are described as follows:
Job No. - The Job Number may be alpha-numeric
Job Name - The Job Name may be alpha-numeric
Task Code - alpha-numeric code or task description
Mn, Tu... - Day of the week where you place your hours
Total - Automatic per job Totals
The bottom of the screen contains eight windows. These are
the functions currently available in TIME SHEET. They are
described as follows:
▄▄▄▄▄▄▄▄ PRINT WEEK - Allows the printing of the current
█ PRNT █ week, or any other week that is currently being
█ WEEK █ viewed. Printing omits any unused jobs for that
▀▀▀▀▀▀▀▀ week. Printing can be done on any laser or dot
matrix line printer.
▄▄▄▄▄▄▄▄
█ EXIT █ QUIT EXIT - This command does NOT save any
█ DONE █ changes made to the current week. Returns to
▀▀▀▀▀▀▀▀ control to DOS
▄▄▄▄▄▄▄▄ SAVE WEEK - Will save the current week's time
█ SAVE █ sheet to disk, at a location specified in the

OPERATION:
The first time you start TIME SHEET you will of course have
to input job numbers, names, etc. If you are using TIME SHEET in
a group environment, MAKE SURE everybody's configured for the
same Week Ending Day.
To check your configuration, you will have to access the row
of functions at the bottom of the screen. To get to the function
menu, simply move your cursor all the way down, or at any time
just use the TAB or ESC key.
Notice your cursor enters the menu at the SAVE WEEK. This was
done to remind you to save your work. You can return to the time
sheet area at any time by moving the cursor up. Notice the
cursor goes to the column of the current day. This was done for
your convenience.
There are a few rules that must be followed when using these
functions;
* You must save any changes to the current week prior to
using any of these commands. If you wish to ignore this
warning you may, but any changes made during the current
editing session will be lost.
* You are only allowed to save changes to the current week.
(This means, if your week ends on Friday, be sure to
complete your time sheet before leaving Friday.)
* Be aware, changing configuration parameters such as Week
Ending Day, or your file extension, will result in loss
of any previous time data base. It's not that the data is
destroyed. TIME SHEET just can't find it because the
weekly file names contain the the week ending date.
In no time at all you are moving around the TIME SHEET screen
without any problem. To return to DOS, hit EXIT DONE or ESC
twice, but remember to save any changes (if you wish) prior to
doing so.
As you start accumulating weekly time data, you may notice
the Maintenance-Free Feature in affect. The way it works, is
when you start a new week, it reads last week's clients and puts
them into a list. It then deletes any clients on the list that
no time was billed to last week. The remaining client list is
them sorted by job number, and used to start the new week.
LIMITATIONS:
There are a few limitations in the operation of TIME SHEET.
They are described as follows:
* No more than 14 client listings per week are allowed. This
may be a problem for some people. If you experience a
problem with this let me know, and it will be corrected
in a future revision.
* No more than 200 weeks of data may be maintained in the
data base at once. This shouldn't be a problem. After all,
that is almost 4 years of data. You will get a warning
message when you reach this point. It will ask you to
remove some of the data from the data subdirectory. This
will prevent slow operation of the program.
ABOUT SHAREWARE:
Shareware distribution gives users a chance to try software
before buying it. If you try a Shareware program and continue
using it, you are expected to register.
Shareware is a distribution method, not a type of software.
You should find software that suits your needs and pocketbook,
whether it's commercial or Shareware. The Shareware system
makes fitting your needs easier, because you can try before you
buy. And because the overhead is low, prices are low also.
Shareware has the ultimate money-back guarantee -- if you don't
use the product, you don't pay a registration fee for it.
